The hours for this position are from 8:00 to 4:00, Monday through Friday. The main responsibilities of this position are to participate in the support staff duties (reception / staff associate) at the New Jersey location, in addition to acting as the onsite supervisor for the support staff at this location and site liaison to other CSC facilities. The responsibilities are as outlined below:
Front Desk Responsibilities:
- Prepare the Center in the mornings for the day ahead.
- Clean up play area and waiting area and make sure that all chairs are properly placed.
- Meet and greet visitors/clients for CSC.
- Unlock front door for entry.
- Answer phones and properly expedite calls, forwarding them accordingly.
- Take messages as needed.
- Mail information packets, bills and receipts as needed.
- Take patient payments and properly log information into the system.
- Print patient bills.
- Handle Superbills returned to the front desk by patients and clinicians.
- Confirm appointments for next day for clinicians whose primary facility is the New Jersey site.
- Log and sign out all keys.
- Handle all deliveries including UPS, FedEx, Airborne and packages delivered via messenger.
- Maintain all brochures stocked at reception area.
- Responsible for Daily Cash Control Audit.
- Other duties assigned, as necessary.
Staff Associate Responsibilities:
- Score and prepare patient questionnaires for clinician to review prior to appointments.
- Proof read and format reports to be sent to patients.
- Schedule patient appointments for clinicians.
- Assist clinicians with coordinating of meetings.
- Complete prescription requests (both mailed to home and called in to pharmacy).
- Handle patient phone calls.
- Prepare purchase orders and expense reports.
- Prepare expense reimbursements and business payments.
- Handle special projects with clinicians (for presentations, mailings, etc).
- Assist patients with emergencies by helping them reach their doctor or getting them in touch with someone who can.
- Correspond with insurance companies for pre-certification of prescriptions.
- Correspond with other healthcare providers (as per patient’s consent).
- Photocopying materials, faxing, filing.
Site Responsiblities:
- Act as the contact person for all vendors / contractors who are performing work on site.
- Keep Supervisor abreast of all repair / maintenance work that needs to be done to the space.
- Send weekly Staples orders over to Supervisor for ordering.
- Email over completed business card templates for all new staff who come on board to Supervisor for processing.
- Keep Supervisor abreast of all clinical support staff related situations occurring at the site on an ongoing basis.
- Train new Clinical Support Staff who come on board.
- Maintain open lines of communication with New Jersey site clinicians, Supervisor, and Clinical Administrator in order to trouble shoot problems at the site.
- Perform weekly site walk throughs to ensure safety and continued quality.
- Notify Supervisor of any telecommunications needs of the site.
