Position Summary:
The Database Associate for the Development office will work with the entire Development team of the NYU Child Study Center. The Database Associate will be a self-starter who will maintain complete and accurate files on prospects and funders, process and record all gifts to the Child Study Center, help draft acknowledgment letters, research potential funding opportunities, produce development queries and reports as requested, and provide general administrative support as needed.
Responsibilities:
Database management
- Maintain accurate and current donor history and gift information.
- Execute high-level database management functions and serve as the fundraising database administrator.
- Ensure data integrity, including the management of corrections and cleanup of data, and overall responsibility of checking for and eliminating errors and duplications.
- Take the lead in researching and resolving gift questions.
- Manage the input of information in donor records related to visits, cultivation activities, etc.
- Responsible for tracking multi-year pledges and payment schedules for donors.
Gift processing
- Be the primary staff member responsible for processing and recording all gifts to the Center in the organization’s donor database. Duties include the accurate entry of data for donor and prospect records.
- Oversee and develop a system of reconciliation of gift records with NYU School of Medicine’s records and database.
- Help administer the acknowledgment process and create drafts of acknowledgments as needed.
Other
- Conduct research for new individual prospects.
- Assist with some logistical aspects of special events with Special Events Manager.
- Perform other duties as assigned.
Qualifications:
- Education: Bachelor’s degree required.
- Experience: Minimum of two years database experience. Knowledge of fundraising preferred.
- Strong knowledge of personal computer programs, including Windows, Microsoft Word and Excel, Microsoft Outlook and the Internet. Comprehensive training on the Center’s database is provided.
- Impeccable attention to detail and the ability to work under the pressure of deadlines.
- Excellent verbal and written communications skills.
- Able to carry out multiple and diverse tasks concurrently.
- Must be a self-starter, able to work independently and as part of a team.
